Terms & Conditions – My Forest Armenia Bike Tours

Parties
Your contract is with My Forest Armenia NGO (hereinafter referred to as “My Forest Armenia”, “the Organization”, “we”, “our”, or “us”). These Terms & Conditions apply to all tours, itineraries, and travel services offered through the My Forest Armenia Bike Tours website and related promotional materials.
For the purposes of these Terms & Conditions, “the Client”, “traveller”, “participant” or “you” refers to the person making the booking, as well as all persons included in the booking.
If you are booking on behalf of a group, you confirm that you have the authority to accept these Terms & Conditions on behalf of all members of the group and that you are responsible for all payments and communications related to the booking as Group Leader, as described below.
By confirming a booking with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
Booking Process - please read carefully
All bookings are subject to availability and are confirmed only once we have received the required deposit by all the participants in the group or full payment. A booking confirmation will be issued.
The first person who books the tour, becomes “Group Leader.” You must indicate the total number of your group, the minimum is 8 persons, the maximum is 12 persons. All participants must be 18 years old.
After the Group Leader has fulfilled the deposit requirement, the chosen tour becomes “Under Option” and a 5 letter code will be issued. The Group Leader may add the names and email of other participants but this is optional. The participants thus indicated will receive an automatic email informing them that the Group Leader has added their names in the group. They are invited to pay the deposit. Only those who have the code can enter the chosen tour dates and complete the deposit requirements and full payments.
The Group Leader ensures that all participants in the Group pay their deposits within 30 days to book the tour.
After all participants in the group have paid their deposits, the tour will appear as “Sold Out” on the website.
We reserve the right to refuse any booking at our discretion.
Payments
A non-refundable deposit of 30% of the total tour cost is required to confirm a booking.
All participants in the group must pay their deposits within 30 days of the first payment by the first person, the “Group Leader.”
The remaining balance must be paid no later than 10 weeks prior to departure.
For bookings made within 10 weeks of departure, full payment is required at the time of booking.
Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of any payments already made.
The balance of the tour, may be paid, by each and/or all participants on one of the tax-deductible accounts of the organisation, at his own discretion.
Participants who select this option must send an email to the organisation at bike@myforestarmenia.org specifying on which account the payment has been made.
If the full amount has been received, we will mark these participants as having fully paid their tour.
All prices are quoted in the currency specified on the website.
The Client is responsible for any bank charges, currency conversion fees, or transfer fees associated with payment.
We reserve the right to revise pricing in the event of significant changes to taxes, exchange rates, fuel costs, or operational expenses. However, once the Group Leader has made the deposit, the price of the chosen tour is fixed and will not be changed.
Changes and Cancellations by the Client
Any request to amend a booking must be submitted in writing by the “Group Leader”.
While we will make reasonable efforts to accommodate requested changes, we cannot guarantee availability.
Cancellation charges apply as follows:
More than 10 weeks before departure: loss of deposit;
Less than 10 weeks before departure: 50% of total tour cost;
Less than 4 weeks before departure: 100% of total tour cost.
If the deposit is not paid by all participants within the deadline, the tour is considered cancelled.
No refunds will be provided for unused services, missed activities, late arrivals, or early departures.
If the Client is unable to travel, bookings may be transferred to another participant of his own choosing. In that case, the Client shall contact the Group Leader and send the information of the new person(s).
Changes and Cancellations by the Organization We reserve the right to make changes to itineraries, accommodations, routes, schedules, activities, or guides when necessary due to weather, safety concerns, operational requirements, local conditions, or other circumstances beyond our control. Minor changes do not entitle the Client to compensation or cancellation. If we are required to make a significant change prior to departure, we will notify the Client as soon as reasonably possible. If we cancel a tour before departure for reasons other than the Client’s fault, the Client will be offered: a transfer to another available tour; or a full refund of amounts paid. The Organization shall not be liable for additional expenses incurred by the Client, including flights, accommodation, visas, insurance, or other travel arrangements booked independently. We reserve the right to cancel a tour if the minimum group number is not reached. In such cases, the cancellation charges are the same as described above. We shall not be liable for delays, changes, cancellations, losses, or failure to perform our obligations where such events result from circumstances beyond our reasonable control. These may include, but are not limited to: natural disasters; severe weather; forest fires; war or civil unrest; strikes or industrial disputes; pandemics or epidemics; government restrictions; border closures; transportation disruptions; acts of terrorism; or other force majeure events. In such circumstances, refunds and compensation may not be available. However a new tour date may be selected. It is the Client’s responsibility to ensure they possess valid passports, visas, and any other documentation required for travel. We strongly recommend that Clients consult official government travel advisories and health guidance before departure. The Organization accepts no responsibility for denied entry, missed travel, or losses arising from incomplete or invalid travel documentation. Our tours involve physical activity, including cycling on paved and unpaved roads, varying terrain, and changing weather conditions. By booking a tour, the Client confirms that they are medically and physically fit to participate. Clients must inform the Organization prior to booking of any medical conditions, disabilities, allergies, dietary requirements, or mobility concerns that may affect participation. We reserve the right to refuse participation or remove a Client from a tour if their condition or behaviour presents a risk to themselves, other participants, staff, or the successful operation of the tour. Any costs resulting from such removal shall be the responsibility of the Client. By participating in a My Forest Armenia Bike Tour, the Client acknowledges that cycling and adventure travel involve inherent risks. These risks may include: cycling accidents; falls and collisions; difficult terrain; road hazards; weather conditions; remote locations; equipment failure; illness or injury; and limited access to medical care. Participation is voluntary, and the Client accepts full personal responsibility for any associated risks. The Organization shall not be liable for injury, illness, death, damage, loss, delay, inconvenience, or expenses arising from participation in the tour except where required by applicable law. Clients agree to: follow all safety instructions provided by guides and staff; wear a helmet while cycling; ride responsibly and in accordance with local laws; respect fellow participants, guides, local communities, and the environment; avoid behaviour that endangers themselves or others; refrain from excessive alcohol or substance use during activities; compensate for any damages caused to accommodations, vehicles, bicycles, or equipment. The Organization reserves the right to remove any participant from a tour without refund if their behaviour is unsafe, disruptive, abusive, illegal, or harmful to others. Accommodation is provided on a shared twin or double occupancy basis unless otherwise specified. A single supplement of €575 will apply where private accommodation is requested. Accommodation standards and amenities may vary depending on the region and local conditions. Clients are responsible for the proper use and care of any bicycles, helmets, accessories, or other equipment provided during the tour. Any loss or damage caused by negligence or misuse may be charged to the Client. Clients using their own equipment (e.g. helmets) are responsible for ensuring that it is safe and suitable for the tour. Travel Insurance Comprehensive travel insurance is recommended for all participants. Insurance should include coverage for: medical expenses; emergency evacuation; repatriation; trip cancellation or interruption; personal liability; loss or theft of baggage and equipment; and cycling or adventure activities. Clients are responsible for ensuring that their insurance policy adequately covers the activities included in the tour. To the maximum extent permitted by law, the Organization’s liability is limited to the total amount paid by the Client for the tour. The Organization is not responsible for: losses arising from acts or omissions of third parties; services booked independently by the Client; delays caused by transportation providers; loss of enjoyment; indirect or consequential losses; loss or damage to personal belongings. Nothing in these Terms excludes liability for death or personal injury caused by negligence where such exclusion is prohibited by law. During tours, photographs and videos may be taken by the Organization or its representatives for promotional, marketing, educational, or social media purposes. By participating in the tour, Clients consent to the use of such images unless they notify the Organization in writing before the tour begins. Personal information provided during booking will be processed in accordance with applicable data protection laws. Client information may be shared with local partners, accommodations, transport providers, or guides where necessary for the operation of the tour.
